End-of-School-Year Checklist

At the end of each school year, follow these steps:

  1. Run the overdue report. Export the full list of overdue books and follow up with students.
  2. Process all remaining returns. Make sure all books are returned before students leave.
  3. Handle outstanding fines. Decide on your school's policy for graduating students with unpaid fines (pay, waive, or carry forward).
  4. Run clearance checks. Verify all graduating students have library clearance.
  5. Generate DepEd reports. Export the SLR, circulation, and collection reports for the year.
  6. Do stocktaking. Run a physical inventory check to find missing or misplaced books.
  7. Create the new school year. Set up next year's school year in the system.
  8. Set up next year's budget. Allocate the new budget.
  9. Sync incoming students. Ask the registrar to sync new enrollees from the Student Information System.
  10. Review borrowing rules. Adjust loan periods, limits, and fine rates if needed for the new year.
